Are you looking for a new challenge in a fast-paced environment? The Municipality of Clare is seeking applications for a full-time permanent Medical Office Administrator role at the Clare Health Centre (CHC).

ABOUT THE JOB

General Information and Work Environment:
  • Permanent full-time position (35 hours per week).
  • Reports to the CHC Manager.
  • Indoor, fast pace, medical office environment.
  • The CHC takes pride in offering a clean, healthy, and professional work environment for all its staff.
  • Work hours are from 7:30 a.m. – 4:45 p.m. Monday to Friday and occasionally on holidays and Saturday mornings from 8:30 a.m. – noon (approx. once / month). Work shifts occurring on Saturdays and holidays are scheduled on a rotational basis. Note: the CHC is closed on New Year's Day, Easter, Labour Day, and Christmas.
  • Overtime (e.g. Saturday mornings) is accumulated and can be presented as paid leave.
Position Summary:

The Medical Office Administrator will contribute to the overall success of the CHC by providing high quality services to all patients. Here are some of the duties:

  • Greet and register all patients reporting for appointments.
  • Maintain schedules for all physicians and primary care providers.
  • Manage phone lines and communications with patients by answering incoming calls in priority sequence, providing information, communicating results, and responding to patient needs while maintaining a high level of customer service and confidentiality.
  • Update and maintain paper and electronic medical records (Med Access).
  • Support physicians with administrative functions.
  • Other general administrative duties such as receiving and transmitting documents via fax, processing payments, documenting communications with patients, and producing letters on behalf of physicians.
Compensation and benefits:
  • Hourly wages range from $22.44 to $28.27.
  • Attractive pension plan with employer contributions.

  • Employees of the Municipality of Clare receive two weeks (10 working days) of paid vacation during their first two years of employment, with an additional week (15 working days) of paid vacation starting at the beginning of their third year of employment. Additional vacation allowances are available thereafter, in accordance with the Employee Policy Manual.

ABOUT YOU

Required Qualifications and Training:
Education:
  • High school diploma and post-secondary education in a medical office administration program, general office administration program, or any other field related to the duties of the position.
Experience:
  • Experience working in a fast-paced environment.
  • 2-3 years of experience working in a healthcare setting preferred.
Required knowledge, skills, and abilities:
  • Ability to communicate effectively in English and French.
  • Ability to complete daily tasks on a computer and manage an electronic filing system.
  • Possession of a valid CPR / First Aid / Medical First Responder certification (or willingness to obtain certification prior to beginning).
  • Ability to prioritize work and multitask.
  • Strong ability to maintain confidentiality.

ABOUT THE CLARE HEALTH CENTRE

The CHC was built in 2008 and is owned and operated by the Municipality of Clare. The building is currently under expansion. Once complete, the CHC will have the capacity to roster every patient in need of a primary care provider within the Municipality, and beyond. The CHC is often considered an exemplary model of primary health care, in which health care providers rent space in the building and support staff are municipal employees.
